Microsoft Enhances Security to Block Copilot in Office Files

Microsoft has rolled out a crucial update to its Microsoft 365 suite, focusing on security and compliance. The new controls will enable organizations to prevent Copilot and other connected services from accessing and analyzing content in Office files.

Enhanced Data Protection with Sensitivity Labels

The update is strategically linked to Microsoft Purview sensitivity labels, which are instrumental in bolstering data protection for enterprises. According to Microsoft’s Message Center alert MC1297982, the sensitivity label setting, previously limited in scope, now extends to all connected experiences across Word, Excel, and PowerPoint.

Files tagged with these sensitivity labels will be shielded from being sent to any Microsoft-connected services, including AI-driven tools like Copilot, for content analysis. This represents a significant expansion from the initial label setting that blocked only a few connected experiences.

Reducing Data Exposure Risks

Microsoft’s new update aims to minimize the risk of sensitive data exposure through cloud-based processing by covering all connected experiences that analyze file content. The rollout began with a Public Preview in May 2026 and is slated for completion by July 2026.

Existing sensitivity labels configured with the setting to block certain experiences will automatically adopt the expanded restrictions without requiring additional configuration. This update ensures that sensitive documents, such as financial and legal data, are not processed by AI tools or external services.

Implications for Compliance and Security

From a compliance perspective, this update modifies how customer data is processed and accessed, reinforcing Information Protection policies. Organizations are advised to review their sensitivity labels to align with internal data handling protocols efficiently.

Microsoft has suggested that organizations update their internal documentation and inform helpdesk teams, as there might be noticeable changes in Office app functionalities when handling labeled files. For instance, features like AI-generated insights and design suggestions will be unavailable for files marked as “Confidential.”

This update highlights Microsoft’s commitment to balancing AI innovation with stringent security needs. As AI-driven productivity tools become integral to business operations, controlling data exposure remains paramount.

Industries with strict compliance mandates, such as finance, healthcare, and government sectors, are expected to benefit significantly from this update. Microsoft’s Purview platform continues to evolve, addressing emerging threats and privacy concerns, with sensitivity labels at the core of data governance strategies.
