Addressing Security Risks of Unregulated AI in Businesses

As artificial intelligence tools become increasingly accessible, employees are adopting these technologies without formal approval from their IT and security departments. These tools, while boosting productivity and streamlining tasks, operate beyond the visibility of security teams, bypassing conventional controls. This phenomenon, known as shadow AI, parallels but extends beyond shadow IT by involving systems that handle and potentially retain sensitive data. Consequently, organizations face new risks including uncontrolled data exposure, expanded attack surfaces, and compromised identity security.

Why Shadow AI is Proliferating Rapidly

The rapid spread of shadow AI within organizations is attributed to its ease of use and immediate utility, coupled with a lack of regulation. Unlike traditional enterprise software, AI tools require minimal setup, enabling employees to start using them right away. According to a 2024 Salesforce survey, 55% of employees admitted to using AI tools without their organization’s approval. In the absence of clear AI usage policies, employees independently decide which tools to use, often without understanding the security ramifications.

Generative AI tools like ChatGPT or Claude are often integrated into daily workflows, enhancing productivity but also risking the exposure of sensitive data without oversight. Whether these AI platforms use the data for model training varies, yet the data inevitably leaves the organization’s security boundary once shared externally.

Understanding Shadow AI as a Security Concern

While shadow AI is frequently viewed as a governance issue, it fundamentally poses a security threat. Unlike shadow IT, where unauthorized software adoption is the concern, shadow AI involves systems processing and storing data beyond security team oversight, heightening the risk of data exposure and misuse.

Employees might inadvertently share sensitive information such as customer data or internal documents with AI tools. Developers troubleshooting code may unknowingly expose sensitive credentials, like API keys, when pasting scripts into AI platforms. Once this data reaches third-party AI services, organizations lose control over how it is stored or utilized, increasing the difficulty of tracing or containing breaches, potentially violating regulations like GDPR and HIPAA.

Strategies to Mitigate Shadow AI Risks

With AI becoming more embedded in daily operations, organizations must focus on mitigating associated risks while enabling safe, productive use. This requires transitioning from blocking AI tools to managing their usage, focusing on visibility and user behavior.

To manage shadow AI risks effectively, organizations should establish clear AI usage policies, offering approved AI alternatives that meet security standards. Monitoring AI usage patterns, including network traffic and API activity, can provide insights into employee interactions with AI. Additionally, educating employees about AI security risks can significantly reduce inadvertent data exposure.

Organizations managing shadow AI proactively will benefit from greater control over AI usage, reducing regulatory exposure and fostering faster, safer AI adoption. Ensuring approved AI tools are readily available encourages their use over insecure alternatives.

As AI adoption becomes standard in the workplace, organizations must prioritize enabling safe AI use by enhancing visibility into AI activities and ensuring proper governance of both human and machine identities.
