Microsoft Teams Introduces Bot-Blocking Policy for Meetings

Microsoft is enhancing security measures in its Teams platform by introducing a new policy aimed at blocking unauthorized meeting bots. This update allows administrators to automatically prevent external bots from joining meetings, addressing concerns over digital privacy and unauthorized data capture.

New Security Measures in Microsoft Teams

The announcement, published in the Microsoft 365 message center on August 21, 2026, highlights the introduction of a mechanism for IT teams to validate meeting participants more effectively. Previously, Teams could detect and flag meeting bots, but the only option was to manually approve or reject them. This new policy simplifies the process by automatically blocking identified bots.

Teams’ system for identifying bots relies on behavioral and infrastructure signals to distinguish them from human participants. Until now, organizers had to handle suspected bots through a lobby where they could manually decide whether to allow them into the meeting.

Addressing the Risks of Shadow AI

The manual approval process had its flaws, especially during consecutive meetings where hosts could inadvertently admit unwanted participants. The presence of third-party AI notetakers and recording bots, often part of unauthorized “shadow AI” practices, posed risks of sensitive information being captured without consent.

To combat this, Teams now offers a BlockDetectedBots setting, which automatically denies entry to detected external bots. This option is added to the existing settings that either require manual approval or allow all bots to join meetings.

Implementation and Strategic Rollout

Administrators can apply this stricter policy across entire organizations or tailor it to specific users or groups using the Teams admin center or PowerShell commands. Importantly, the new feature is disabled by default, requiring manual activation by administrators.

The rollout is occurring in two phases, starting with targeted tenants in early August 2026 and expected to reach general availability by late September. Microsoft advises organizations to review their reliance on meeting bots to ensure the policy does not disrupt legitimate workflows.

Preparing for the Change

Microsoft recommends a phased implementation, starting with pilot groups, to assess the impact of the new policy. Administrators should also update internal documentation and inform meeting organizers in advance to avoid confusion.

While there are no compliance mandates tied to this update, it is seen as a significant step in reducing unauthorized data capture risks during sensitive meetings. Security teams are encouraged to consider this policy as part of their broader digital security strategy.
